A welcome, then a review request, then a referral request, each at a sensible point in the client's first weeks. Most agencies mean to do all three. In a busy office, the policy gets written and the follow-up slips.

Mach 5's onboarding campaign follows your pipeline. When your team moves a new client into onboarding, the campaign sends a welcome email. A review request follows, typically about three days later. After a set number of days in the onboarding pipeline, the client receives a referral request. Your staff decides when a client enters onboarding, so the messages match the work your agency has actually completed.

Mach 5 was built by insurance agent Darren Burch. We set up the wording and timing with you.

Start with a useful welcome

A welcome email should help the client, not just thank them. Tell them who to contact, how to reach your office and how to ask for a certificate, a change or help with a claim. That information is easy to forget during the sale and useful later.

Keep coverage details out of a general welcome message. Questions about a specific policy belong with your licensed staff.

Ask for a review while the experience is recent

A few days after the welcome, the client has seen how your agency works, which makes it a natural time to ask for a review. Your team can hold the request until the client has their certificate or a slow bind request is complete. Our guide to getting more Google reviews explains how the request works.

Ask for referrals after the relationship has started

A referral request makes more sense once the client has had time with your agency. Keep it simple: say you appreciate their business and that you would welcome an introduction to anyone who could use help with insurance.

Be careful with rewards. Rules on gifts or payments for referrals vary by state, so confirm what is allowed for your agency before offering anything.

Keep the sequence tied to real status

Because the campaign starts when your team moves a client into onboarding, a prospect who has only received a quote does not receive a welcome. If a client cancels or something changes early, update their status so messages that no longer fit are not sent.

Once new clients are settled, the book you already have holds more conversations. See find your next insurance conversation in the book you already have. For which plan includes the onboarding campaign, see Mach 5 pricing.
