Make reminders easy to understand

A good reminder says who the appointment is with, when it takes place and whether the agent will call or send a meeting link. Include the time zone and a simple way to reschedule.

For example: "Your call with our agency is tomorrow at 2 p.m. Mountain. We will call the number you provided. Need another time? Use this booking link." This is sample copy for the agency to adapt.

If they miss the call, make rebooking simple

A short message can say: "Sorry we missed you. If you would still like help, here is a link to choose another time." That gives the prospect a next step without requiring staff to start a long series of manual calls.

Keep an eye on attended appointments

Count bookings and attended conversations separately. If many people book but do not attend, review the reminder, timing and reason for the appointment. Extra messages will not fix an unclear offer.
