Your producer finishes a quote, sends it and moves on to the next client. Later, someone needs to call again, leave a message or send another email. When the agency gets busy, those small jobs pile up.

A simple example
Your agent sends a commercial auto quote. An agreed follow-up message says: "Hi Alex, did you receive the quote? If you would like to go through it, here is a link to book time with your agent."
If Alex wants a conversation, the next step is clear. The agent can spend that time answering questions instead of first working through another round of unanswered calls. This is an example message, not a report of a real client result.
Keep people out of the wrong follow-up
