Start with events your agency can trust

A renewal workflow should begin with current agency records, not an AI guess. Choose the system of record, define the renewal date, and make the next action, owner and status visible.

Use your agency's service standards to set timing. A single universal schedule can create noise when account complexity, carrier requirements and client preferences differ.

  • Renewal date and policy or account identifier.
  • Assigned account manager or producer.
  • Information that is complete, missing or awaiting validation.
  • Last approved contact and the next planned action.
  • Exception reason when the normal workflow should stop.

Automate repetition, not judgment

Useful automation can build a daily queue, assign owners, schedule approved reminders, record delivery status and escalate an unanswered task. The agency should decide which steps are appropriate for each workflow and verify that the source fields are current.

Keep a person in the loop for client-specific coverage discussions, unusual account conditions, conflicting data, complaints, opt-outs and decisions that require licensed judgment. Automation can surface the work; it should not invent a client's needs or silently change coverage.

Use a visible handoff

Every automated step needs a named owner when it fails or reaches an exception. The person receiving the handoff should see why the account was routed and what has already happened.

  • Ready for automated reminder: the record, message and contact channel are approved.
  • Needs validation: a date, policy line or contact preference may be stale.
  • Needs licensed conversation: the client raised a coverage or recommendation question.
  • No response: the agency's defined escalation path is due.
  • Complete: the actual outcome and next renewal step are recorded.

Build compliance into the workflow

Separate service communications from marketing and cross-sell messages. The Federal Trade Commission explains that an existing relationship does not automatically make every email transactional, and commercial email rules include accurate headers, truthful subject lines and opt-out handling.

Channel rules and insurance obligations vary by message, jurisdiction and agency role. Preserve approved consent and suppression controls, and have the agency's compliance resources review a workflow before expanding it.

Measure the complete sequence

Count actual sent messages, replies, completed conversations, quotes and bound outcomes separately. A reminder sent is not a conversation, and a reply is not a renewal retained.

Review comparable cohorts over enough time for outcomes to mature. The agency follow-up scorecard provides a companion structure for definitions and handoffs.

  • Tasks created and assigned.
  • Messages delivered, failed and suppressed.
  • Meaningful replies and completed conversations.
  • Accounts escalated to a person.
  • Quotes, renewals completed and lost accounts, based on committed agency records.

Apply AI governance in proportion to risk

NIST's AI Risk Management Framework organizes voluntary risk work around governance, mapping, measurement and management. The NAIC's insurer-focused AI bulletin emphasizes governance, validation, documentation, fairness and accountability for consumer-impacting uses. An independent agency should adapt those principles to its role and applicable requirements rather than treating the bulletin as agency-specific legal advice.

For a first workflow, keep the scope narrow, document the inputs and allowed actions, test exceptions, and give people a clear way to stop or correct the process.
