Can an AI receptionist transfer a caller to someone at your agency?

Mach 5's AI receptionist can transfer callers to the number your agency chooses. If no one answers, it takes a message and offers a time on your calendar.

Yes. When a caller needs a person, the Mach 5 AI receptionist can transfer the call to the number your agency chooses. That might be your main office line, a producer's mobile phone or whoever is covering service that day. If nobody picks up, the AI answers again, takes a message and offers the caller a time on your calendar, so the call does not end in voicemail.

Mach 5 was built by insurance agent Darren Burch. We set up the transfer around how your agency already handles calls, and you decide which calls should reach a person.

How the transfer works

Mach 5 uses a direct transfer, sometimes called a cold transfer. The call goes straight to the number you set. The AI does not stay on the line to introduce the caller, so the person who answers starts the conversation fresh.

That makes the destination important. A producer expecting a new commercial inquiry answers differently from someone handling a billing question. Choose a number answered by someone ready for the kind of call being sent.

Decide which calls should reach a person

Some calls belong with your team right away: a client who asks for their agent, a prospect ready to talk about coverage, or a question that needs licensed judgment. Others can be handled without a transfer, such as taking a message or booking a time to talk.

We work through those situations with you during setup. Coverage advice and quoting decisions stay with your licensed staff.

What happens when nobody answers

An agency phone goes unanswered for ordinary reasons. Someone is already on a call, at an appointment or out of the office. When a transferred call is not picked up, the AI receptionist answers again. It takes a message and tries to book a call on the agent's calendar, so the caller leaves with a next step and your team receives the request.

Keep the destination current

You can send transfers to any number you want, and you can change it as your team changes. When someone leaves, changes roles or covers a different shift, update the destination so callers reach a person who can help.
