Can you keep your agency's phone number with an AI receptionist?

Your clients already know your number. It's on renewal notices, business cards and years of saved contacts. Adding an AI receptionist can often preserve that number, but the right approach depends on the phone service you use and how you want calls answered.

For an agency that wants staff to answer first, call forwarding is a useful place to start the conversation. Calls still come to the number clients recognize. Your phone service can send selected calls to another number when the conditions it supports are met, such as a busy line or no answer.

Keeping the number and moving the number are different decisions

With forwarding, your existing provider continues to serve the original number. The change is where certain incoming calls go. If the service supports the arrangement you want, your team can keep its usual answering routine while the receptionist takes the calls that would otherwise wait.

Porting moves the number to another provider. The familiar number may stay the same, but the service behind it changes. That requires a coordinated transition and a review of the other functions attached to the line.

If your immediate goal is help during busy periods, ask about that first. You can discuss a larger phone-system change separately, with its own timing and responsibilities.

The caller's experience depends on the whole route

A forwarded call can still reach voicemail before the receptionist gets a chance to answer. A transfer back to the wrong number can also send the caller around the same route again. The greeting, ring time, voicemail and destination all need to work together.

Consider a prospect calling while you and your account manager are both with clients. You want the receptionist to collect the reason for the call and help arrange the next conversation. You also want an available staff member to receive the calls you intend the team to answer. Those two outcomes should be demonstrated using the proposed phone arrangement.

Ask separately about texts and return calls

Keep the discussion broader than incoming voice calls. Ask where client text messages will arrive, which number appears on a return call and how staff reach the caller details. Confirm those answers for your setup rather than assuming forwarding changes every service associated with the number.

If you have several advertised numbers, explain what each is used for. An established agency line and a number used in a marketing campaign may have different jobs. Preserve those distinctions in the plan.

What to bring to the conversation

Bring the name of your current phone provider, the number clients use and a description of what happens when nobody answers. Let us know whether you want backup during office hours, after closing or both, and whether the number also receives texts.
