Choose a useful snapshot
Use a current export, and note the date it represents. A report based on a stale book can send your team back through accounts that have already changed. Keep an untouched original in your agency’s approved storage, then work from a copy.

Check these four things before uploading
- Column names make sense to someone outside the agency.
- Dates use a consistent format and missing dates are visibly blank.
- Repeated client rows represent real policies rather than duplicate exports.
- Only the information requested for the analysis is included. Review the data-handling page if you are uncertain about a field.
Make the findings actionable
Choose an owner for the report before it arrives. Have that person validate a small sample against your agency system, identify what is still current, and separate potential opportunity from a client’s confirmed needs.
A household with one policy line at your agency may have other coverage elsewhere. Treat that pattern as a reason to ask a useful question. It is not proof of an uncovered risk or a sale waiting to happen.
Keep a simple review log
- Account reviewed and date checked.
- Why it appeared in the report.
- Whether the record is current and the opportunity relevant.
- Assigned owner and next action.
- Outcome: no action, conversation, quote or bound policy.
