The setup depends on the help you choose

An overflow receptionist needs different information from a renewal campaign. You do not need to prepare every system in your agency before you can have a useful conversation with Mach 5.

We will show the available options and explain what is needed for the ones you want.

For an AI receptionist

Start with the agency name, hours, main contact information and what callers commonly need. Decide which details should be collected and when the caller should reach a person.

For example, a new quote caller may need to leave a name, phone number, business type and reason for calling. An existing client with an insurance question may need a different next step.

For appointment booking

Confirm whose calendar should be used, which appointments can be booked, their length and the available hours. Check the time zone and how much notice the agent needs.

The goal is to book a time the agent can actually keep, with enough information to prepare for the conversation.

For quote follow-up

We need an approved contact list and a reliable way to know which quotes have been sent. We also agree on the message, timing, contact method and when follow-up should stop.

Your existing process may use a contact-management system, a list or another supported source. Mach 5 checks the connection before promising automatic updates between systems.

For renewal follow-up

Accurate renewal dates and contact details are the starting point. Decide what you want clients to review or update and where their replies should go.

Check a few records with your staff before starting. A wrong date or duplicate contact can lead to an unnecessary reminder.

For marketing and client outreach

Decide who the campaign is for and why the message would be useful to them. Review the list, contact permissions and approved wording. Leave out people who should not be contacted.

A campaign to older leads will sound different from a review invitation to current clients. We help set up those differences.

Keep preparation straightforward

Share only the information needed for the agreed job, using the agreed secure method. An agency contact-list export is not the same as a live connection to your policy system. We will explain what the setup can read or update.
